Information you give us
If you contact us by email or otherwise make a project enquiry, we receive the information you choose to provide. This may include your name, job title, organisation, email address, telephone number, venue or building, location, likely dates, photographs, plans, project notes and correspondence.
Most of this information comes directly from you. In a business project we may also receive relevant contact or project information from colleagues at your organisation, a venue, professional adviser or project partner.
You do not need to provide personal information simply to browse this website. If you choose to make an enquiry, there is no statutory obligation to provide personal data, but we need enough contact and project information to understand and respond to your request. If you do not provide that information, we may not be able to progress the enquiry or enter into a project contract.
Why we use this information
We use enquiry and project information to respond to you, understand a potential project, prepare proposals or quotations, manage discussions and, where a project proceeds, administer the relationship.
Our lawful bases will normally be taking steps at your request before entering into a contract, performing a contract, complying with legal obligations, and our legitimate interests in managing genuine business enquiries, projects, records and communications. Where we rely on legitimate interests, we consider the impact on the people whose information is involved.
Website technical information
When you visit the website, our hosting, security and content-delivery providers may process technical information needed to deliver and protect the site, such as IP address, browser and device information, requested pages, timestamps and security events. We use this for website availability, security, troubleshooting and fraud or abuse prevention.
We do not currently use advertising or marketing analytics on this website.
Cookies and third-party content
We use a small necessary cookie to remember whether you have accepted or rejected non-essential external media. YouTube and Momento360 are not loaded until you choose Accept all in the cookie banner. If you accept, those embeds will then load automatically on pages where they appear, including on later visits while your choice remains stored.
When an external embed loads, your browser connects directly to that provider. It may receive technical information such as your IP address, browser or device information and the page you are viewing, and may use cookies or similar technologies under its own privacy practices. The YouTube player uses YouTube's privacy-enhanced youtube-nocookie.com embed domain.
Some website images are also delivered through third-party content-delivery infrastructure. See our cookie notice for more detail and use the Cookie settings link in the footer at any time to change your choice.
Who we may share information with
We may use trusted service providers that support our email, IT, hosting, storage, security and business administration. Where a project requires it, relevant information may also be shared with the venue, professional advisers, insurers, contractors or competent technical partners involved in developing or delivering the project. We only share what is reasonably needed for the relevant purpose.
We may also disclose information where required by law, regulation, a court or competent authority, or where reasonably necessary to establish, exercise or defend legal rights.
International processing
Some technology providers may process information outside the UK. Where UK data protection law requires safeguards for an international transfer, we expect the relevant provider or contractual arrangement to use an approved safeguard or other lawful transfer mechanism. You can contact us at contact@lightofstars.co.uk if you would like information about the safeguards relevant to a particular transfer.
How long we keep information
We do not keep personal information indefinitely. Inactive enquiries are reviewed and removed when they are no longer reasonably needed. If a project proceeds, relevant project, contract, financial and business correspondence may be kept for the periods needed for project administration, legal rights, tax, accounting, insurance and other applicable obligations. Retention therefore depends on the nature of the record and whether a project proceeds.
Your rights
Depending on the circumstances, UK data protection law may give you rights to access your personal information, correct inaccurate information, request erasure or restriction, and receive certain information in a portable form. If processing is based on consent, you can withdraw that consent at any time without affecting earlier lawful processing.
Your right to object
You have the right to object to processing based on our legitimate interests in certain circumstances. If you object, we will consider your reasons and whether we have compelling legitimate grounds to continue. If personal information were ever used for direct marketing, you would have an absolute right to object to that use.
We do not use personal information collected through this website for automated decision-making that produces legal or similarly significant effects.
To exercise a right or ask a privacy question, email contact@lightofstars.co.uk. We may need to verify your identity before acting on a rights request.
You can also raise a concern with the Information Commissioner's Office. We would appreciate the opportunity to address the issue first if you are comfortable contacting us.
Changes to this notice
We will update this notice when our website, providers or use of personal information changes materially.
